How to choose a wedding venue

The venue decides your budget, your guest list and how the day feels. Use this guide to shortlist faster, compare quotes on equal terms and avoid surprises after you pay the advance.

Start with four decisions

  1. Guest count. Count separately for each function. A mehendi for 80 and a reception for 500 need very different spaces.
  2. Dates. Pick two or three options. Peak wedding dates sell out first and cost more, so flexibility gives you better choice and better rates.
  3. Total budget. Set a ceiling for the venue and food together, since most venues price them as one package.
  4. Area. Choose one or two localities that are easy for your guests to reach, with parking and rooms nearby.

Pick the right type of venue

Banquet halls
Air-conditioned and weather-proof. Best for receptions and evening functions in any season.
Marriage lawns
Open-air space for large guest lists and traditional setups. Ask about an indoor or covered backup.
Wedding resorts
Stay and celebrate in one place over two or three days. Good for destination-style and outstation guests.
5-star hotels
Premium food, service and rooms under one roof, usually with higher minimum spends.
Farmhouses
Privacy and flexibility on decor and timings, often on the city outskirts.

Understand how venues charge

  • Per plate: the most common model. Check the minimum number of plates you must pay for, and the veg and non-veg rates.
  • Venue rental: a fixed fee for the space, with food from an approved or outside caterer.
  • Extras: taxes, decor, DJ and sound, extra hours, corkage and outside vendor fees can change the final bill a lot.

Know when to book

Popular venues fill up early for peak wedding season and auspicious dates, so many couples book several months ahead. For off-season or weekday dates you can often book later and negotiate better rates.

Visit before you pay the advance

  • See the space at the same time of day as your function, and check lighting, parking and washrooms.
  • Taste the menu, and confirm what is included in the decor package.
  • Get the advance amount, payment schedule and cancellation terms in writing.

Frequently asked questions

How much does a wedding venue cost in India?

It depends on the city, the area, the date and the type of venue. Most banquet halls and hotels charge per plate for food, with a minimum number of plates, while lawns and farmhouses may charge a rental fee. Each venue card on VenueLook shows its starting price so you can compare.

How far in advance should we book a wedding venue?

Popular venues fill up early for peak wedding season and auspicious dates, so many couples book several months ahead. For off-season or weekday dates you can usually book later and negotiate better rates.

What is the difference between per-plate pricing and venue rental?

With per-plate pricing you pay for food per guest and the space is included, usually with a minimum guest count. With venue rental you pay a fixed fee for the space and arrange food through an approved or outside caterer.

Which type of venue suits our wedding?

Banquet halls are weather-proof and good for receptions, marriage lawns suit large guest lists and traditional setups, resorts work for two or three day celebrations, and 5-star hotels offer food, service and rooms under one roof.

What should we check before paying the advance?

Confirm the seated and floating capacity for each function, what the package includes, rules for outside decorators and DJs, music end time, parking, rooms for guests, and the payment schedule and cancellation terms in writing.

Can we bring our own decorator or caterer?

Some venues allow outside vendors and some work only with their own or approved partners. Many charge a fee for outside vendors, so ask before you shortlist.

Do venues need a backup for open-air functions?

If you book a lawn or terrace, ask about an indoor or covered space in case of rain or extreme weather, and whether it is included in the price.
